Managing ProjectQuest Emails
If you don't want to turn off ProjectQuest's automatic
emailing feature, but you also don't want PQ email to monopolize
your Inbox, read on. Your email client (e.g., Outlook, Netscape Messenger,
Eudora, etc.) will have a way to filter and organize incoming email
so that it goes in a subfolder rather than taking up space in your main
Inbox. See below for details.
For Outlook 98/2000 Users:
- With your Outlook Inbox open, select Tools =>Rules Wizard
from the top menu bar. (If you are using an earlier version of Outlook
or Outlook Express, this option may be located under Tools => Inbox
Assistant.)
- In the Rules Wizard dialog box, click [New...].
- Under "Which type of rule do you want to create?" click
once on "Move messages based on content" then click
[Next >].
- Under "Which condition(s) do you want to check?" scroll
down and click once inside the checkbox next to "with specific
words in the subject." In the Rule description window, click
"specific words".
- The "Search Text" dialog box will pop up. Type "ProjectQuest"
(without quotes) in the box next to "Add new" then click [Add].
Click [OK].
- You will return to the Rules Wizard dialog box. In the Rule Description
window, click "specified" folder. The "Choose
a folder:" dialog box will pop up. Click [New]. The "Create
New Folder" dialog box will pop up. Type "ProjectQuest Auto
Mail" (without quotes) in the text box under "Name:".
In "Select where to place the folder," click on "Personal
Folders." (You may select "Mailbox" if you prefer,
or you don't have a "Personal Folders" option.) Click [OK].
- The "ProjectQuest Auto Mail" folder should be visible in
the remaining Rules Wizard dialog box. Click [OK].
- The remaining Rules Wizard dialog box should should appear as follows;
Click [Next >].

- The next dialog box should read "What do you want to do with
the message?" and the check box next to "move it to the specified
folder" should be checked. Click [Next >].
- The next dialog box should read "Add any exceptions (if necessary)."
Click [Next >].
- The next dialog box should read "Please specify a name for this
rule:". Type "ProjectQuest Auto Mail" in the text box.
Click once inside the checkbox next to "Run this rule now on messages
already in 'Inbox'" so that a checkmark appears. The checkbox next
to "Turn on this rule" should already be checked (if not,
click once inside the checkbox.) Click [Next >].
- Click [Finish]. If any message boxes appear, click [OK].
- In the last remaining Rules Wizard dialog box, make sure that the
checkbox next to "ProjectQuest Auto Mail" is checked, then
click [OK]. All mail with "ProjectQuest" in the subject
should now automatically go in the "ProjectQuest Auto Mail"
folder.
For Netscape Messenger Users:
- With your Netscape session open, select Communicator =>
Tools => Message Center from the dropdown menu.
- In the Netscape Message Center window, select Edit => Message
Filters from the top menu bar.
- The Message Filters dialog box should pop up. Click [New...].
- The Filter Rules dialog box should pop up. Type "ProjectQuest
Auto Mail" next to "Filter name:". Click the "Match
all of the following" radio button. Select the "subject"
of the message "contains" from the dropdown boxes.
Type "ProjectQuest" (without quotes) in the adjacent text
box.
- Next to "then," select "Move to folder" in the
dropdown box. Click [New Folder...]. The New Folder dialog box
should pop up. Type "ProjectQuest Auto Mail" in the textbox
under "Name:" and select "Local Mail" in the dropdown
box beneath "Create as subfolder of:". Click [OK].
When the dialog box looks like the one below, click [OK].
- In the remaining Message Filters dialog box, click [OK]. All
mail with "ProjectQuest" in the subject should now automatically
go in the "ProjectQuest Auto Mail" folder.
